# Event media and your library

Clarify keeps the photos and video for your events in a media library that your office owns, and organises them by date and event for you. Connecting a library is part of the Pro and Agency plans, and every trial. On Starter, media added to events goes to Clarify's own storage instead, and any library you connected on a higher plan waits, untouched, until you upgrade again.

## Where your media lives

When you connect a library, Clarify files event media into a **OneDrive** folder that belongs to whoever connects it. Nothing is stored on Clarify long term. You keep full control of the files in your own Microsoft account, and Clarify just puts them in tidy, per event folders for you.

Clarify only publishes a copy of a file when you actually add it to a post, and that copy is cleared a while after the post goes out. Your originals stay in your library.

## Connecting a library

Go to [Settings, Platforms](https://clarify.net.au/settings/platforms), find the **Event media library** card under **Integrations**, and press **Connect OneDrive**. Sign in with Microsoft and approve. That is the whole setup, one click, no IT help needed.

The files land in an app folder in that account's OneDrive, under **Apps, Clarify**. Because the library sits in one person's OneDrive, if they leave the office you will want to reconnect with someone else's account.

## How folders are organised

Clarify creates a folder for every upcoming event as soon as it appears in your diary, so a folder is always ready and waiting. The layout is:

**Clarify Media, then the date, then the event name.**

You never make or name folders yourself. If an event is renamed in Outlook, its folder stays linked, nothing goes missing.

## Two ways to add media

- **Through Clarify.** Open an event on your [Schedule](https://clarify.net.au/schedule) and press **Add media** to upload from your phone or computer. Best when you are out and about.
- **Straight into the folder.** Because the folder already exists, anyone can drop files into it from the OneDrive app on their phone or computer. This is the easy way to handle a batch off a proper camera: copy the card onto the computer, drop the shots into that event's folder, done. They appear against the event in Clarify automatically.

Photos can be up to 8 MB each and video up to 1 GB. Big videos take a while to upload, so stay on the page until it finishes.

## Using the media

Once media is against an event you can:

- See it in the event's details on the Schedule page.
- Attach it to a post: when composing, use **From event folder** to pick the shots you want.
- Let an AI draft include it automatically (see [AI post drafts](https://clarify.net.au/help/ai-post-drafts)).

## Who can use it

Connecting a library needs the **Manage pages** permission. Adding media and notes to events needs either **Publish posts** or the lighter **Upload event media** permission, so staff out at events can contribute photos without being able to publish.

## Opening the folder

From an event you can press **Open media folder** to jump straight to that folder in OneDrive, for example to tidy up or download the originals.
